Commenting & Annotations

Background
The Commenting feature unifies the Comments and Notes tools into a single, streamlined annotation experience — eliminating the need to decide which tool to use or track feedback across multiple systems. For the first time, users can highlight and mark up specific contract language directly on the document, in addition to commenting on individual checklist and playbook items. Every annotation supports @mentions, threading, and real-time notifications, keeping all review discussions organized, contextual, and fully captured inside Document Crunch — without relying on Adobe, email chains, or other external tools.
Things to Consider
Document-level annotations (Highlight, Text Markup, Strikeout, Underline) are available on any crunch.
Checklist and playbook item commenting is available across all review contexts.
Only your own comments can be edited or deleted. Deletions are permanent and cannot be undone.
Email notifications for @mentions are sent if the recipient has not already viewed the in-app notification within 10 minutes.
All comments and annotations are visible to anyone who views the crunch.
There is no limit on the number of comments or annotations per item or document.
Understanding Notifications
In-App Notifications
A green indicator appears on the notifications icon when someone @mentions you or replies to a thread you're participating in.
Click the notification to be taken directly to the relevant crunch and annotation.
Email Notifications
An email is sent when you are @mentioned in a comment or annotation. It includes the crunch name, comment content, and who mentioned you, along with a View Comment button linking directly to the annotation.
If you've already viewed the in-app notification, no email will be sent.
Note: Depending on your organization's email settings, notification emails may be routed to your Spam, Promotions, or Junk folder.
Steps
Adding a Document-Level Annotation
Locate and open a crunch
Select an annotation tool from the toolbar: Highlight, Text Markup, Strikeout, or Underline.
Select the relevant text or area on the document to apply the annotation.
A comment box will appear. Type your comment, add emojis, paste links, or @mention a teammate by typing @ followed by their name.
Click the blue Submit button to post.
Tip! You can also add a free-standing comment anywhere in the document without attaching it to an annotation or checklist item. These comments can be repositioned by dragging them to a different area of the document.
Adding a Comment on a Checklist or Playbook Item
Open a checklist or playbook item.
Scroll down to the Comments section.
Click Write a comment and begin typing. Add emojis, paste links, or @mention teammates as needed.
Click the blue Submit button to post.
Note: A comment bubble indicator showing the author's initials will appear at the annotation location on the document. Click the bubble to open the full comment thread in the side panel.
Replying to a Comment
Locate the comment or annotation thread you want to reply to.
Click Reply to comment... beneath the existing comment.
Type your reply, add emojis or @mentions as needed, and click the blue Submit button.
Viewing All Comments in One Place
Click the Comments icon on the right side menu (below the Chat icon) to open the centralized comments panel.
From the panel, you can:
Reply to, edit, or delete comments.
Mark a thread as External.
Unsubscribe from a thread to stop receiving notifications for it.
Click any comment in the panel to navigate directly to the related item or document section.
Editing a Comment
Locate the comment you want to edit.
Click the three-dot menu (⋯) at the top right of the comment.
Select Edit comment.
Make your changes and click the blue Submit button to save, or click X to cancel without saving.
Deleting a Comment
Click the three-dot menu (⋯) at the top right of your comment.
Select the delete option.
Confirm the deletion when prompted: "Are you sure you want to delete this comment? This action cannot be undone."
Note: Deleted comments are permanently removed and cannot be recovered.
